Responsibilities

The directors have overall responsibility for health and safety, including access to competent advice, suitable resources and review of significant risks. Managers and engagement leads are expected to organise work safely, consult the people affected and follow up reported concerns.

Employees must take reasonable care of themselves and others, use equipment safely, cooperate with agreed measures and report hazards, work-related ill health, incidents and near misses. Remote working does not transfer the employer’s responsibilities to the employee.

Remote working arrangements

Our policy is to assess the significant risks associated with home working and keep the findings and actions under review. This includes workstation setup, equipment, working environment, isolation and work-related stress. An assessment should be revisited when work, location, equipment or individual needs change.

People who regularly use display screen equipment should receive a suitable assessment, information and support to address identified issues. Work routines should allow breaks or changes of activity. Eligible display screen equipment users can request an employer-funded eyesight test, with employer-funded special corrective appliances provided where required by the applicable regulations.

Wellbeing and workload

Delivery expectations should be realistic and discussed regularly. Concerns about excessive workload, isolation, conflicting priorities or harmful behaviour should be raised early with a manager or director. We will consider practical adjustments and appropriate support.

Health information should be handled sensitively. A person should not have to disclose medical details through a general website enquiry to request a discussion.

Client sites and business travel

Before a client-site visit or business journey, the engagement lead should consider relevant risks and the arrangements required. People visiting a site must follow the host’s induction, emergency and security instructions, while remaining able to raise unsafe conditions with EQ Solutions.

For an immediate emergency, use the local emergency services. Report work-related incidents or near misses to a manager or director promptly. The directors are responsible for arranging investigation and any legally required reporting.

Written policy and practical evidence

This public statement summarises our expectations. The internal written health and safety policy must also identify the responsible people and practical arrangements, and be communicated to employees. Risk assessments and corrective actions are separate evidence of implementation.

Questions about an engagement or a safety concern can be sent to engage@eqsolutions.co.uk. The directors should review the policy at least annually and after a significant incident or material change.
